  • Click + New o goc tren ben trai, roi chon List.
  • Chon Blank list.

Ban can quyen tao list trong SharePoint site. Neu khong thay nut + New, lien he admin cua to chuc de duoc cap quyen Edit tren site.

Them cac column can thiet

Moi SharePoint list bat dau voi mot column mac dinh la Title. Ban se doi ten column nay thanh Ho_ten roi them 5 column moi cho cac truong du lieu tuyen dung.

  • Trong list Ung_vien, click vao mui ten ben canh tieu de column Title.
  • Chon Column settings, roi chon Rename.
  • Doi ten thanh Ho_ten va nhan Save.

Column dau tien da doi ten thanh Ho_ten trong header cua list.

  • Them column Email bang cach click + Add column o ben phai cac column hien tai.
  • Chon loai Single line of text.

  • Them column Kinh_nghiem: click + Add column, chon loai Number, nhap ten Kinh_nghiem, click Save.
  • Them column CV_Link: click + Add column, chon loai Multiple lines of text, nhap ten CV_Link, click Save.
  • Them column Ngay_nop: click + Add column, chon loai Date and Time, nhap ten Ngay_nop, click Save.

List cua ban bay gio co 6 column: Ho_ten, Email, Vi_tri_ung_tuyen, Kinh_nghiem, CV_Link, Ngay_nop.

Refresh lai trang trinh duyet. Neu van khong thay, click vao ten list Ung_vien trong navigation ben trai de tai lai list view.

Tao Form Nop CV voi Microsoft Forms

Tai sao can chinh setting truoc khi them cau hoi?

Tinh nang upload file trong Microsoft Forms chi hoat dong khi form duoc gioi han cho nguoi trong to chuc. Ban can bat setting nay truoc de dam bao cau hoi upload CV khong bi loi.

Cau hoi dau tien da xuat hien tren form. Tiep tuc them cau hoi thu hai.

  • Bam + Add new lan nua.
  • Chon loai Text.
  • Nhap tieu de: Email.
  • Bat toggle Required.

Cau hoi thu ba la cau hoi dang Choice de ung vien chon vi tri ung tuyen.

  • Bam + Add new.

  • Bam + Add new.

  • Chon File upload.
  • Neu hien thong bao yeu cau xac nhan, bam OK de dong y.
  • Nhap tieu de: Upload CV.
  • Trong phan file type, gioi han chi cho phep PDF.
  • Dat gioi han kich thuoc file la 10 MB.
  • Bat toggle Required.

Tai sao file upload chi ho tro nguoi trong to chuc?

Day la gioi han by design cua Microsoft. Tinh nang file upload chi kha dung khi form dat setting "Only people in my organization can respond". Nguoi ben ngoai to chuc khong the upload file truc tiep qua Forms.

Preview va test form

Truoc khi ket noi form voi Power Automate, ban can dam bao form hoat dong dung. Tinh nang Preview cho phep ban dien thu form nhu mot ung vien that.

  • Bam nut Preview o thanh cong cu phia tren form.

Form hien thi o che do xem truoc giong nhu ung vien se thay. Ban co the dien thu du lieu vao day.

  • Nhap Le Van C vao truong Ho va ten.
  • Nhap levanc@email.com vao truong Email.
  • Chon Data Analyst trong cau hoi Vi tri ung tuyen.
  • Nhap 1 vao truong So nam kinh nghiem.
  • Bam Upload file va chon mot file PDF bat ky tu may tinh cua ban.
  • Bam Submit.

Man hinh hien thong bao xac nhan thanh cong. Form cua ban da hoat dong dung.

  • Bam Back de quay lai che do chinh sua form.

Khong upload duoc file trong Preview?

Kiem tra ban da chon setting "Only people in my organization can respond" o buoc truoc. Neu thieu setting nay, cau hoi file upload se bao loi.

Ngoai ra, dam bao file ban chon la dinh dang PDF va nho hon 10 MB.

Neu van gap loi, giup toi xu ly loi upload file trong Microsoft Forms.

Form da san sang. Buoc tiep theo, ban se ket noi form nay voi SharePoint bang Power Automate de du lieu ung vien tu dong chay vao list ma khong can copy-paste thu cong.

Ban can mot flow tu dong chay moi khi co ung vien nop form. Flow nay se bat dau bang trigger "khi co response moi" tu Microsoft Forms.

  • Mo trinh duyet va truy cap make.powerautomate.com.
  • Dang nhap bang tai khoan Microsoft 365 to chuc cua ban (cung tai khoan ban dung cho SharePoint va Forms).
  • Trong menu ben trai, chon Create.
  • Chon Automated cloud flow.
  • Trong truong Flow name, nhap Form Ung Tuyen to SharePoint.
  • Trong phan chon trigger, tim Microsoft Forms va chon When a new response is submitted.
  • Bam Create.

  • Trong trigger, chon truong Form Id va chon Form Ung Tuyen - CloudMate tu danh sach dropdown.

Khong thay form trong dropdown?

Dam bao ban dang nhap Power Automate voi cung tai khoan da tao form. Form phai la form ca nhan cua ban (khong phai Group form). Neu van khong thay, thu nhap truc tiep Form Id tu URL cua form.

Trigger chi bao hieu co response moi. Ban can them action de lay chi tiet response va ghi vao SharePoint.

  • Bam dau + phia duoi trigger de them action moi.
  • Tim Microsoft Forms trong thanh tim kiem.
  • Chon action Get response details.
  • Trong truong Form Id, chon lai Form Ung Tuyen - CloudMate.

Trigger chi cung cap Response Id (ma so cua response). Action Get response details dung ma so do de lay toan bo noi dung ung vien da dien: ho ten, email, vi tri, kinh nghiem.

Tiep theo, ban se them action de ghi du lieu vao SharePoint list.

  • Bam dau + phia duoi action Get response details.
  • Tim SharePoint trong thanh tim kiem.
  • Chon action Create item.

Cac truong cua list se xuat hien ben duoi. Ban se map tung truong voi du lieu tu form.

  • Trong truong Title (Ho_ten), bam vao va chon dynamic content cau hoi Ho va ten.
  • Trong truong Email, chon dynamic content cau hoi Email.
  • Trong truong Vi_tri_ung_tuyen Value, chon dynamic content cau hoi Vi tri ung tuyen.
  • Trong truong Kinh_nghiem, chon dynamic content cau hoi So nam kinh nghiem.

Cac truong khac deu lay du lieu tu dynamic content. Dynamic content la gia tri thuc te ma ung vien da dien trong form.

Dam bao action Get response details nam truoc action Create item trong flow. Dynamic content cua form chi xuat hien sau khi ban da cau hinh Get response details thanh cong.

Luu flow va test end-to-end

Flow da san sang. Bay gio ban se luu va chay thu de xac nhan du lieu tu dong chay tu form vao SharePoint.

  • Bam Save o goc tren phai cua flow designer.
  • Doi vai giay cho den khi thay thong bao luu thanh cong.

Truoc khi test, hay suy nghi: ban nghi du lieu se xuat hien trong SharePoint list sau bao lau ke tu khi ung vien bam Submit?

  • Mo lai form cua ban. Ban co the vao forms.office.com va chon Form Ung Tuyen - CloudMate.
  • Bam Preview (hoac Collect responses > copy link > mo link).

Trang thai Succeeded nghia la flow da chay thanh cong tu dau den cuoi. Du lieu tu form da duoc ghi vao SharePoint list. Neu ban thay Failed, bam vao dong do de xem buoc nao bi loi.

  • Mo SharePoint site cua ban va chon list Ung_vien tu site navigation.
  • Xac nhan dong moi xuat hien voi thong tin Le Van C, Data Analyst, va ngay hom nay.

Du lieu tu form da tu dong xuat hien trong SharePoint. Pipeline dang hoat dong.

Khong thay dong moi trong SharePoint?

Doi them 1-2 phut roi refresh trang SharePoint. Flow can thoi gian de chay.

Neu sau 5 phut van khong thay, quay lai Power Automate va kiem tra Run history. Neu thay Failed, bam vao dong do de xem action nao bi loi. Thuong gap nhat la chon sai Site Address hoac List Name trong action Create item.

Pipeline form-to-SharePoint da hoat dong. Tiep theo, ban se tao mot AI agent co the tra cuu thong tin ung vien bang ngon ngu tu nhien.

Tao AI Agent trong Copilot Studio

Du lieu ung vien da tu dong chay tu form vao SharePoint list. Nhung moi lan can tim thong tin, ban van phai mo list va cuon tim thu cong.

Mot AI agent co the tra loi cau hoi bang ngon ngu tu nhien se nhanh hon nhieu. Trong buoc nay, ban se tao agent trong Copilot Studio va ket noi no voi du lieu tuyen dung trong SharePoint.

Copilot Studio cho phep ban tao AI agent chi bang cach mo ta nhiem vu cua no. He thong se tu dong tao ten, mo ta va instructions cho agent.

  • Mo trinh duyet va truy cap copilotstudio.microsoft.com.
  • Dang nhap bang tai khoan Microsoft 365 to chuc cua ban (cung tai khoan ban dang dung cho SharePoint va Power Automate).

Copilot Studio license

Copilot Studio mien phi de xay dung va quan ly agent. Ban chi tra phi khi agent duoc su dung ($0.01 moi Copilot Credit). Trial license cho phep ban test trong qua trinh xay dung ma khong mat phi.

  • Tren trang Home hoac Agents, tim o nhap mo ta agent.
  • Nhap mo ta sau:
Tro ly tuyen dung giup tra cuu thong tin ung vien tu SharePoint
  • Copilot Studio se tu dong tao ten, mo ta va instructions cho agent dua tren mo ta cua ban.
  • Xem lai cac thong tin duoc tao tu dong. Chinh sua neu can.
  • Bam Create.

Sau vai giay, agent cua ban se duoc tao va ban se thay giao dien chinh sua agent.

Khong thay o nhap mo ta?

Neu ban khong thay o nhap mo ta tren trang Home, thu chuyen sang tab Agents o thanh menu ben trai. Tai day ban co the thay nut tao agent moi.

Neu van khong truy cap duoc, tai khoan cua ban co the chua duoc cap Copilot Studio license. Lien he IT admin cua to chuc de kich hoat trial license.

Neu ban gap van de khac, giup toi truy cap Copilot Studio voi tai khoan Microsoft 365 to chuc.

Them SharePoint lam knowledge source

Agent vua tao chua biet gi ve du lieu ung vien cua ban. Ban can ket noi SharePoint list Ung_vien lam knowledge source de agent co the tra cuu thong tin khi duoc hoi.

  • Trong giao dien agent vua tao, chon Knowledge (hoac bam Add knowledge tu trang Overview).
  • Bam Add knowledge.
  • Trong phan Featured, chon SharePoint.

Tai sao chon SharePoint lam knowledge source?

Mo ta knowledge source quan trong the nao?

Mo ta giup agent hieu du lieu chua nhung gi. Khi nguoi dung hoi cau hoi, agent dua vao mo ta nay de quyet dinh co nen tim kiem trong knowledge source nay hay khong. Mo ta cang chi tiet, agent cang chinh xac.

Sau khi them thanh cong, ban se thay Du lieu tuyen dung xuat hien trong danh sach knowledge cua agent.

Loi khi them SharePoint URL?

Dam bao ban nhap URL cua SharePoint site (khong phai URL cua list cu the). URL ket thuc o ten site, vi du /sites/yoursite thay vi /sites/yoursite/Lists/Ung_vien.

Neu gap loi quyen truy cap, tai khoan cua ban can co it nhat quyen Read tren SharePoint site do.

Neu van gap loi, giup toi ket noi SharePoint knowledge source trong Copilot Studio.

Test agent (ket qua chua tot)

Knowledge source da duoc them. Bay gio hay thu hoi agent ve ung vien de xem no tra loi the nao.

Agent chua biet vai tro cua no la tro ly tuyen dung. No chua co chi dan cu the ve viec tra loi bang tieng Viet hay trinh bay thong tin nhu the nao.

  • Both Power Automate flows remain active and will continue processing new form submissions and emails.
  • The Copilot Studio agent remains available for chat and will consume Copilot Credits each time someone sends a message.
  • The SharePoint list and Microsoft Form stay in place at no cost.

Turn off the flows so they stop processing new data. The agent remains in Copilot Studio but will not consume credits unless someone interacts with it.

  • Go to make.powerautomate.com.
  • Select My flows in the left navigation.
  • Select the flow Form Ung Tuyen to SharePoint, click the vertical ellipsis, and select Turn off.
  • Repeat for the Email CV to SharePoint flow.
  • Your SharePoint list, form, and agent all remain intact for when you return.

Delete - I don't want to use this again

Remove all project resources permanently. Follow each step below.

  • Delete the Copilot Studio agent: go to copilotstudio.microsoft.com, open the Agents page, and select your agent Tro ly Tuyen dung. On the top menu bar, click the three dots next to Settings and select Delete. Enter the agent name to confirm, then click Delete agent.
  • Delete both Power Automate flows: go to make.powerautomate.com, select My flows. Click the vertical ellipsis next to Form Ung Tuyen to SharePoint and select Delete. Confirm by clicking Delete again in the dialog. Repeat for Email CV to SharePoint.
  • Delete the Microsoft Form: go to forms.office.com, click the My forms tab, find Form Ung Tuyen - CloudMate. Select More options on the form tile and choose Delete.
  • Delete the SharePoint list (optional, keep if you want the candidate data): open the Ung_vien list in your SharePoint site. Click Settings, then select List settings. Select Delete this list and confirm with OK.
