In this project, you will build a complete sample money system in Monarch Money with practice transactions instead of real bank data.

What You'll Build

Your finished dashboard turns a sample month into a clear story from payday to savings progress.

By the end of this project, you'll have:

  • A privacy-safe practice workspace where five categorized transactions explain how income became spending.
  • A Flex Budgeting plan that compares $1,200 of fixed spending with $203 of flexible spending against a $600 plan.
  • A repeatable monthly review that uses your personalized dashboard plus a current-month report to explain $1,597 in net cash flow.
  • Secret Mission: Build a transaction rule that updates repeated Corner Cafe transactions to the same category in one pass.

Are there any prerequisites?

You need a Mac with internet access, an email address, and eligibility to use Monarch Money in the US or Canada. The 7-day trial auto-renews unless canceled at least 24 hours before it ends.

Before We Start

Before any hands-on work, this step locks in a privacy-safe way to learn Monarch Money with sample data. You'll also name one financial question for the practice workspace.

Start a Safe Practice Workspace

A Monarch Money dashboard needs an account before it can organize your financial picture. A manual account gives you a practice workspace without connecting a bank.

You will use Safari to create a trial account through the web. You will review its billing date before creating Practice Checking.

In this step, get ready to:
  • Create your Monarch Money trial account through the web app.
  • Record the next bill date from Billing Settings.
  • Create the manual Practice Checking account with a $2,000 balance.
Create your Monarch Money trial

Monarch Money is currently available only in the US and Canada. Monarch recommends web sign-up for easier subscription management.

  • Confirm that you are eligible to use Monarch Money in the US or Canada.
  • Press Cmd+Space to open Spotlight on your Mac.
  • Type Safari into Spotlight.
  • Press Enter to open Safari.
  • Enter https://www.monarch.com/ in the Safari address bar.
  • Select Try Monarch free for 7 days.
  • Complete the web sign-up prompts until you reach the final confirmation.

Review the Trial Before Confirming

This action can create a future charge when the trial ends. You stay in control by checking every billing detail before you confirm.

  • Review the displayed trial period.
  • Review the displayed payment terms.
  • Review the displayed future charge.
  • Review the displayed renewal terms.
  • Submit the sign-up only if the displayed terms are acceptable to you.

You should see the signed-in Monarch Money web app. Your first safety check is complete because you reviewed the trial terms yourself.

Can't Finish Sign-Up?

  • Check that every required sign-up field is complete.
  • Stop before submitting if the displayed payment terms are unacceptable.

Record your next bill date

A recorded next bill date turns the renewal into a deadline you can plan around. This keeps the trial from becoming a surprise charge.

  • Open Billing Settings from the signed-in Monarch Money web app.
  • Find the displayed next bill date.
  • Record the date here: your next bill date.

Why Record the Date?

Monarch says billing occurs at the end of the free trial. The subscription auto-renews until canceled.

Cancel at least 24 hours before the trial ends to avoid automatic billing. Access remains available for the remainder of the trial.

Next Bill Date Missing?

  • Reload Billing Settings if the next bill date is not visible.
  • Contact Monarch support if the renewal date remains unclear.

Create your manual practice account

Your manual account acts as a container for sample activity. Its starting balance is fictional, so no bank credentials enter the workspace.

  • Select Accounts from the Monarch Money navigation.
  • Select +Add Account.
  • Choose Add manual account.
  • Choose a cash or checking account type.
  • Enter Practice Checking as the account name.
  • Enter $2,000 as the current balance.
  • Select Save.

Before you verify it, what balance do you expect the new account to show?

  • Return to Accounts to verify the new account.

You should see Practice Checking with a $2,000 current balance. No connected financial institution should appear for this account.

Your safety boundary is now in place. Practice Checking can hold sample activity without exposing real financial data.

Practice Account Missing?

  • Confirm that you are viewing Accounts instead of Transactions.
  • Repeat the manual account flow if Practice Checking is not listed.
  • Confirm that you selected Save after entering the account details.
  • Review the current balance if the displayed amount differs from $2,000.

Your privacy-safe practice workspace is ready. Next, you will give Practice Checking a financial story with five sample transactions.

Add Sample Transactions

Your manual account named Practice Checking now holds a safe $2,000 practice balance. Now you'll use the Monarch Money web app to give that balance a financial story.

A balance shows how much money exists. It cannot explain where the money came from or where it went.

In this step, get ready to:
  • Add one sample income transaction.
  • Add four categorized expense transactions.
  • Verify the populated transaction list against the updated account balance.
Add the income transaction

A manual transaction records activity that you enter yourself. A credit increases the balance when balance adjustment is enabled.

  • Select Transactions in the left navigation.
  • Select Add on the Transactions page.
  • Select Add transaction from the menu.

Why Leave Balance Adjustment Enabled?

The Practice Checking balance starts at $2,000. Keeping balance adjustment enabled makes each manual credit or debit change that balance.

The account total then follows your sample activity.

  • Choose credit as the transaction type.
  • Enter $3,000 as the amount.
  • Enter Practice Paycheck as the merchant.
  • Select today's date.
  • Select Practice Checking as the account.
  • Select the matching income category shown in the category list.
  • Confirm that balance adjustment remains enabled.
  • Select Add transaction to save the credit.

You'll return to Transactions. You should see a $3,000 credit from Practice Paycheck dated today.

Good start. Your practice account now has a visible source of income.

Add the expense transactions

Expenses use debit transactions because they reduce the account balance. Transaction categorization gives each expense a purpose that Monarch Money can summarize later.

  • Select Add on the Transactions page.
  • Select Add transaction from the menu.
  • Choose debit as the transaction type.

Choose the Closest Category

Category names can vary slightly between workspaces. Select the closest housing expense category for City Rent.

The category should communicate that this transaction represents rent or housing.

  • Enter $1,200 as the amount.
  • Enter City Rent as the merchant.
  • Select today's date.
  • Select Practice Checking as the account.
  • Select the closest matching housing expense category.
  • Confirm that balance adjustment remains enabled.
  • Select Add transaction to save the debit.

You'll return to the transaction list. You should now see the paycheck credit plus the $1,200 rent debit.

Remaining Transaction Details

  • The Green Basket transaction is a $160 debit dated today. It belongs to Practice Checking. Its category is the closest grocery expense category. Balance adjustment stays enabled.
  • The Corner Cafe transaction is a $25 debit dated today. It belongs to Practice Checking. Its category is the closest dining or food expense category. Balance adjustment stays enabled.
  • The Cinema Club transaction is an $18 debit dated today. It belongs to Practice Checking. Its category is the closest entertainment expense category. Balance adjustment stays enabled.
  • Add the Green Basket transaction by repeating the manual transaction flow with its reference values.
  • Add the Corner Cafe transaction by repeating the manual transaction flow with its reference values.
  • Add the Cinema Club transaction by repeating the manual transaction flow with its reference values.

After the final save, you'll see one income credit plus four expense debits in the transaction list.

Review the financial story

Before you inspect the full list, do you think categorized history alone can show whether this spending is safe?

  • Select Transactions in the left navigation.
  • Confirm that all five sample entries are visible.

You'll see one credit from Practice Paycheck plus four debits from the sample merchants. The list explains what happened during the practice month.

This is the intended gap. Transaction history provides facts without a spending limit or monthly plan.

  • Select any sample transaction from the list.
  • Inspect the editable merchant, category, date, notes, and tags.
  • Return to the full transaction list.

Before you check Accounts, what balance do you expect after the $3,000 credit plus the four debits?

  • Select Accounts in the left navigation.

You'll see Practice Checking with a current balance of $3,597.

That's your sample financial story in place. The workspace now shows realistic activity without using real bank credentials.

Balance Does Not Show $3,597?

  • Check that Practice Paycheck uses the credit transaction type.
  • Check that all four expenses use the debit transaction type.
  • Check each transaction for the correct account. A disabled balance adjustment can also cause a mismatch.

Build Your Flex Budget

Your five categorized transactions now show exactly what happened in your practice month. However, that history cannot tell you whether the spending is safe because it has no monthly plan.

In this step, you'll use Monarch Money's Flex Budgeting to turn those actual amounts into spending boundaries. This gives every sample expense a clear job for the month.

In this step, get ready to:
  • Start the Flex Budgeting walkthrough.
  • Sort the four expense categories into Fixed or Flex.
  • Complete the monthly plan with verified totals.
Start the Flex Budgeting walkthrough

The walkthrough turns your existing transaction categories into three spending buckets. Starting from the Budget page keeps the plan connected to the sample activity you already created.

  • Select Budget in the left sidebar.

You'll see the Budget page with its current setup controls.

  • Select Settings in the upper-right corner.
  • Select Flex Budgeting.

The settings view now shows the option for starting the guided setup.

  • Select Budget Walkthrough to begin.

Why Flex Budgeting?

Flex Budgeting groups your expense categories into three buckets.

  • Fixed holds repeating commitments such as housing.
  • Non-Monthly can hold costs that sit outside the monthly routine.
  • Flex gives everyday spending categories one shared plan.

A line-by-line category budget requires more setup. This bucket model gives your practice month a useful boundary faster.

Sort your expense categories

Category placement decides which plan measures each transaction. Your rent belongs in Fixed because it represents a repeating commitment.

  • Use the walkthrough's category controls to place the housing expense category used for City Rent in Fixed.
  • Use the same controls to place the grocery expense category used for Green Basket in Flex.

You'll see the City Rent category listed under Fixed. The Green Basket category appears under Flex.

  • Place the food or dining expense category used for Corner Cafe in Flex.
  • Place the entertainment expense category used for Cinema Club in Flex.

Flex now contains the three categories behind your smaller sample expenses.

  • Keep Non-Monthly empty for this practice month.
  • Advance to the planned amounts screen using the walkthrough's next control.

The walkthrough now has one Fixed category plus three Flex categories ready for planned amounts.

Finish your monthly spending plan

Planned amounts turn your buckets into limits you can compare with actual spending. The Budget page calculates the remaining flexible amount from those two figures.

  • Enter $1,200 as the plan for the fixed housing category.

The fixed housing plan now matches the amount of your City Rent transaction.

  • Enter $600 in the Flex planned spending text box.

The Flex bucket now has one shared monthly limit for groceries, food or dining, plus entertainment.

Before the walkthrough reveals the result, consider how much should remain after your three flexible expenses.

  • Complete the walkthrough using its final confirmation control.
  • Return to the Budget overview by selecting Budget in the left sidebar.

You'll see Fixed with $1,200 planned plus $1,200 actual.

Under Flex, you'll see $600 planned with $203 actual plus $397 remaining. Non-Monthly remains empty.

You've closed the gap your transaction history exposed. Your sample spending now has a monthly boundary you can monitor.

Numbers Not Matching?

  • If Fixed actual differs from $1,200, check that the City Rent housing category is assigned only to Fixed.
  • If Flex actual differs from $203, check that the Green Basket, Corner Cafe, plus Cinema Club categories are assigned to Flex.
  • If the remaining amount differs from $397, re-enter $600 in the Flex spending text box.

Your practice month now has a plan as well as a transaction history. Next, you'll give the remaining money a purpose with a savings goal before bringing that goal onto your dashboard.

Add a Goal and Customize Your Dashboard

In Monarch Money, your Flex budget now keeps this practice month within clear limits. It shows $397 left in your flexible spending plan.

A savings goal gives that leftover money a future purpose. Dashboard widgets keep the goal visible whenever you review your finances.

In this step, get ready to:
  • Create a vacation savings goal with a $1,200 target due six months from today.
  • Complete the goal's current funding plan plus its monthly contribution plan.
  • Arrange your Dashboard around the budget, goal, and transactions.
Create your vacation goal

Your goal needs a clear destination. A target amount plus a target date define what you are saving toward.

  • Switch back to the Monarch Money tab in Safari.
  • Select Goals in the left navigation.
  • Select Add goal.
  • Choose a vacation goal.
  • Select Continue.

You'll see the fields that define the vacation goal's target. These values turn the idea into a dated savings plan.

  • Enter $1,200 in Target amount.
  • Choose the date that falls six months from today in Target date.
  • Leave Spending reduces goal progress turned off.
  • Select Continue.

The next prompts connect money you already have to the goal. They also define the amount you plan to contribute each month.

Allocate funds and finish the goal

Existing funds give the goal an immediate starting point. A monthly planned contribution sets the pace for future progress.

  • Choose Practice Checking as the account for the existing funds.
  • Enter $200 as the amount of existing funds allocated to the goal.

The goal now starts with $200 from Practice Checking. The account balance remains $3,597.

  • Set Monthly planned contributions to $200.
  • Finish the remaining goal prompts.
  • Select View goals.

What should I see?

  • The vacation goal has a $1,200 target due six months from today.
  • The goal has $200 allocated from Practice Checking.
  • The monthly planned contribution is $200.
  • The Spending reduces goal progress setting remains off.

That's the planning piece done: your vacation goal now has a starting allocation plus a monthly pace.

Goal totals look wrong?

  • Check that the target amount shows $1,200.
  • Check that the existing-funds allocation shows $200 from Practice Checking.
  • Check that Monthly planned contributions shows $200.

Customize your dashboard

The Dashboard becomes your regular review surface. Placing the budget, goal, and transactions near the top keeps the monthly plan within view.

  • Return to Dashboard from the left navigation.
  • Select Customize in the top-right corner.
  • Activate Budget if it is inactive.
  • Activate Savings goals if it is inactive.
  • Activate Transactions if it is inactive.

All three cards are now included in your Dashboard layout. Next, you can control how quickly you reach them.

  • Drag the Budget card near the top of the layout.
  • Drag the Savings goals card near the top of the layout.
  • Drag the Transactions card near the top of the layout.

Your vacation goal now gives the sample money a future purpose. Next, you'll use Reports to explain the month behind it.

Review Your Reports

Your budget gives the sample month a plan. Your dashboard keeps that plan visible.

The Reports area in Monarch Money turns the same transactions into an explanation of where the money went. This step checks whether the numbers tell the story you expect.

In this step, get ready to:
  • Configure a current-month Spending report.
  • Trace the largest expense back to its transaction.
  • Verify the Cash Flow summary for the sample month.
Configure the Spending report

A Spending report groups individual expenses into a visual pattern. This makes the largest source of spending easier to spot.

  • Select Reports in the Monarch Money sidebar.
  • Select the Spending tab.
  • Select Pie or Breakdown as the chart view.
  • Group the report by Category.
  • Select the filter icon.
  • Set the date range to This month.

You should see the housing category as the largest slice or bar.

What Does This Report Show?

The Pie or Breakdown view compares the four expense transactions by category. The current-month filter keeps the report focused on the practice entries dated today.

The largest section represents the $1,200 housing expense from City Rent.

Inspect the largest expense

A chart reveals the spending pattern. A drill-down connects that pattern to the transaction responsible for it.

  • Select the largest expense slice or bar.
  • Inspect the displayed transaction details for City Rent.

You should see the $1,200 debit from Practice Checking in the housing category.

  • Clear the drill-down filter to restore the complete current-month view.

You should see the complete set of current-month category totals again.

Read the Cash Flow summary

Cash flow compares income with spending for a period. The summary also shows the share of income left after spending as the Savings rate.

  • Select the Cash Flow tab in Reports.
  • Confirm that the date range still shows This month.

Before you read the summary, do you expect the sample month to finish with positive or negative net cash flow?

  • Read the summary card for the current month.

You should see Total income of $3,000. You should see Total spending of $1,403.

You should see Net cash flow of $1,597. The Savings rate is visible in the same card.

Numbers Not Matching?

  • Confirm that the Reports date range shows This month.
  • Clear any active drill-down filter from the Spending report.
  • In Transactions, confirm that all five sample entries use today's date.

Your Monarch Money practice system is complete. Pick a cleanup option before the recorded bill date so the trial only becomes paid if you choose to continue.

Cost warning

Billing occurs at the end of the free trial. The current subscription price is $14.99 monthly or $99.99 yearly.

  • Cancel at least 24 hours before the trial ends to avoid automatic billing.

  • Keep your recorded next bill date available as a renewal reminder.
  • Allow the trial to renew only if the future charge in Billing Settings fits your plan.
  • Continue using Practice Checking only with sample data.

Pause - I'll come back to this later

You keep access for the rest of the trial after cancellation, so your practice workspace does not disappear immediately. Cancellation prevents the subscription from renewing.

  • Return to Billing Settings from earlier.
  • Select Manage subscription.
  • Select Cancel Subscription.
  • Complete the cancellation prompts shown.
  • Confirm that future billing has stopped in Billing Settings.

That's the billing risk handled. Your practice workspace remains available for the rest of the trial.

Delete - I don't want to use this again

Deleting the account is permanent, so use this option only when you are finished with the practice workspace. You lose access to account connections, transactions, plus balances.

Cancel the subscription first.

  • Return to Billing Settings from earlier.
  • Select Manage subscription.
  • Select Cancel Subscription.
  • Complete the cancellation prompts until the subscription is canceled.

The renewal is now stopped. Account deletion is the final cleanup.

Delete the trial account.

  • Return to Settings in the Monarch Money web app that remains open in Safari.
  • Select Security.
  • Select Delete Account.
  • Complete the permanent deletion prompts shown.
  • Confirm that the app no longer gives you access to the deleted trial account.

Cleanup complete. You can no longer access Practice Checking, its transactions, or its balances through the deleted account.
