In this project, you will connect Claude Desktop to Gmail and Notion using built-in connectors, build a Claude skill that categorizes your emails and drafts replies in your writing style, and schedule the whole workflow to run automatically every weekday morning.

Do I need to pay to do this project?
Yes. This project requires a Claude Pro subscription (~$20/month) for access to Claude Desktop's connectors, Cowork tab, and scheduled tasks. The Gmail and Notion connectors are included with your subscription.
This project works on macOS and Windows. You will need a desktop or laptop computer with Claude Desktop installed. The Secret Mission uses Dispatch, which requires the Claude mobile app on iOS (Dispatch is not available on Android yet as of March 2026).

Get Your Tools Ready
To build our automated morning email briefing, we need Claude Desktop connected to both your Gmail and Notion workspace. Claude Desktop has built-in connectors that let it talk to external tools like Gmail and Notion with just a few clicks.
In this step, we'll install Claude Desktop and connect it to both Gmail and Notion.
In this step, get ready to:
- Install Claude Desktop and sign in.
- Connect the Gmail connector.
- Connect the Notion connector.
Install Claude Desktop

- Open Claude Desktop.
- Look for your account name in the bottom left corner to confirm you are signed in with your Claude Pro account.
Don't have Claude Pro?
You can sign up for Claude Pro at claude.ai. It costs $20/month and includes access to connectors, which we need for this project. How do I sign up for Claude Pro?
🔧 I need to install Claude Desktop
- Head to claude.ai/download and download Claude Desktop for your operating system.
🍎 macOS
- Open the downloaded .dmg file.
- Drag the Claude icon into your Applications folder.
- Open Claude from your Applications folder.
🖼️ Windows
- Open the downloaded installer.
- Follow the installation prompts.
- Open Claude from your Start menu.
- Sign in or create a new account.
- When asked if you are an organization or individual, select Individual.
- Subscribe to Claude Pro if you have not already.
Why is it asking for my payment information?
Claude Pro costs $20/month and requires a payment method to activate. You need a Pro subscription for access to connectors like Gmail and Notion, which power this project. The free tier does not support connectors.
Connect Gmail
Now let's connect Claude to your Gmail account. Claude Desktop has a built-in Gmail connector that lets Claude read and draft emails without any complicated setup.

If Gmail already appears as a connected service in your Claude Desktop Settings > Connectors, you are all set. Skip ahead to Connect Notion.

Don't have a Gmail account yet?
Head to accounts.google.com, click Create account, select For my personal use, and follow the setup prompts. Come back here once your account is ready.
- In Claude Desktop, open Settings (gear icon).
- Click Connectors.
- Click Browse connectors.
- Search for Gmail in the search bar.
- Click the plus to Connect to Gmail.
- A browser window will open asking you to sign in with your Google account.
- Sign in with the Google account whose emails you want Claude to read.
- Click Continue to grant Claude permission to access your Gmail.
- If Google shows a permissions screen, select all the permissions and click Continue.
What permissions does Claude get?
Claude can search and read your emails and create draft replies. It cannot send emails on your behalf. Claude only accesses your data when you explicitly ask it a question, and it retrieves the minimum information needed.

You should see Gmail listed as a connected service in your Connectors settings.

- Make sure you are signed in to Claude Desktop with a Claude Pro account. The free tier does not support connectors.

Connect Notion
The last tool to connect is Notion. Just like Gmail, Notion has a built-in connector in Claude Desktop.

If Notion already appears as a connected service in your Claude Desktop Settings > Connectors, you are all set. Skip ahead to Step 2.
🔧 I need to connect Notion
Don't have a Notion account yet?
Head to notion.so, click Get Notion free, and sign up with your email or Google account. Follow the setup prompts to create your workspace, then come back here.
- In Settings, click Browse connectors.
- Search for Notion in the search bar.
- Click Connect next to Notion.
- A browser window will open asking you to authorize Claude to access your Notion workspace.
- Click Select all to give Claude access to your entire workspace.
- Click Allow access.
I don't see a "Select all" option?
The Notion authorization screen may look different depending on your account. Try the following:
- If you see a list of individual pages, select your workspace name at the top instead.
- If you see a Configure button or dropdown, click it and select All pages from the dropdown.
- Make sure Claude has access to your full workspace so it can create new pages and databases.
💡 Why give access to everything?
Claude needs permission to create new pages and databases in your workspace. If you only grant access to specific pages, Claude will not be able to create the Email Briefings database later. You can always change these permissions in Notion's settings under Connections.

- Try clicking Disconnect next to Notion, then click Connect again.

Both connectors should now show as connected in your Connectors settings. Your tools are connected and ready to go. Next up, we will make sure everything actually works.
Test Your Connections
You have connected your Gmail and Notion connectors, but how do you know they actually work? Before we build our email briefing, we need to make sure Claude can talk to both tools. If either connection is broken, the briefing will fail silently, and that is no fun to debug later.
In this step, we will test both integrations and create the Notion database your briefing will use.
In this step, get ready to:
- Test the Gmail connector by reading recent emails.
- Create your Email Briefings Notion database.
- Run a combined test with both tools.
Test Your Gmail Connection
The first thing to verify is that Claude can actually read your inbox. If the Gmail connector did not connect correctly, this is where you will find out.
- Make sure you are on the Claude Chat tab. This is usually the first tab at the top of the sidebar.
- Click New Chat to start a new conversation.
- Type the following prompt:
Read my 5 most recent emails and summarize each one in a single sentence.
- Press Enter and wait for Claude to respond.
Claude is asking for permission to use Gmail?
Claude will ask for permission to use the Gmail connector. This is a one-time approval per conversation. Click Allow when prompted. This lets Claude read your emails for this chat session only.
Claude should respond with a summary of your five most recent emails, including the sender and subject line for each one.
What just happened?
Claude used the Gmail connector to read your recent emails and summarize them. Claude never stores your email data. It reads the emails in real time each time you ask.

Nice work. Your Gmail connection is up and running.
ⓧ Something went wrong
That's okay! Let's troubleshoot:
- Make sure you completed the Gmail connector sign-in during Step 1. Claude needs permission to access your Gmail account.
- Check that the Gmail connector appears in Claude Desktop's settings. Open Settings, then select Connectors. You should see Gmail listed as connected.
- Restart Claude Desktop completely, then try the prompt again.
- If you see an authentication error, try disconnecting and reconnecting the Gmail connector in Settings, then Connectors. Help me fix my Gmail connector.

Test Your Notion Connection and Create Your Email Database
Now let's confirm Claude can write to your Notion workspace. We will ask Claude to create the actual database your briefing will use. This database is where every email from your morning briefings will be logged, so you can filter, sort, and track your emails over time.
- In the same Claude conversation, type the following prompt:
Create a new page in my Notion workspace, then add a database on that page called "Email Briefings" with the following properties:
- Sender (text)
- Subject (title)
- Summary (text)
- Category (select with options: "Needs Response", "FYI", "Delegatable")
- Date Received (date)
- Status (select with options: "New", "Replied", "Delegated", "Archived")
When you're done, give me the Notion link to the new page so I can open it directly.
- Press Enter.
Claude is asking for permission to use Notion?
Just like with Gmail, Claude will ask for permission to use the Notion connector. Click Allow when prompted.
Claude should confirm that the database was created successfully and give you a link to the new Notion page.
- Click the Notion link Claude provides to open the database directly.
The database will be empty for now. That is expected because we just created the structure. It has all the right columns (Sender, Subject, Summary, Category, Date Received, Status) but no data yet. Your morning briefing skill will fill it with email entries in Step 3.
Why a database instead of pages?
A Notion database lets you filter, sort, and view your emails in different ways. You can create views like "Needs Response today" or "All emails this week." Plain pages would just stack up without any way to organize them.

Your Notion connection is working and your email database is ready.
ⓧ Something went wrong
No worries! If Claude cannot create the database, the most common cause is that the Notion connector does not have access to the right pages. This is a great lesson in configuring connector permissions.
- Open your Notion workspace in a browser.
- Go to Settings & members, then Connections.
- Find the Claude connection and click on it.
- Make sure it has access to your entire workspace, or at least the page where you want the database created.
- Go back to Claude Desktop and try the prompt again.
If that does not fix it:
- Confirm that you authorized the Notion connector to access your workspace during Step 1. Notion requires you to select which pages or workspace the connector can access.
- Check that the Notion connector appears in Claude Desktop's settings. Open Settings, then select Connectors. You should see Notion listed as connected.
- Restart Claude Desktop and try the prompt again.
- If you still see a permissions error, check your Notion connector settings.

Confirm Both Connections
Now that both tools are verified individually, let's do a quick combined test to make sure everything works together.
- In Claude Desktop, make sure you are on the Claude Chat tab.
- Click the pencil icon (or the + button) at the top of the sidebar to start a new chat.
- Type the following prompt:
Read my most recent email and add it as a new entry in my "Email Briefings" Notion database. Fill in the sender, subject, a one-sentence summary, and pick the best category. Give me the Notion link to the entry when you're done.
- Press Enter.
- Approve both tool permissions when prompted.
Claude should read your latest email and add it as a row in your Notion database with all the fields filled in.
- Open your Notion workspace and navigate to the Email Briefings database.
- Verify that the new entry from your most recent email appears with the sender, subject, summary, and category filled in.
Claude did not give me a Notion link?
That is okay. Sometimes the title of Claude's response is a clickable hyperlink to the Notion page. You can also ask Claude directly for the link. If neither works, search for "Email Briefings" in your Notion sidebar. Claude may still have created the entry successfully even without sharing a link.
Both connections are live and working together. Next up, you will build the Claude skill that powers your morning briefing.
Build Your Email Briefing Skill
Your connectors are live and Claude Desktop can now reach both your inbox and your Notion database. The next thing we need is the brain of the whole operation: a Claude skill that tells Claude exactly how to scan, sort, and act on your emails.
Instead of pasting a long prompt every morning, a skill is a reusable command you can run anytime. Think of it like training a personal assistant once, so they know what to do every day without you repeating yourself.
In this step, we will create that skill, teach Claude your writing style, and refine it until the output is genuinely useful.
In this step, get ready to:
- Teach Claude your writing style from your sent emails.
- Create a Claude skill that scans, categorizes, logs, and drafts replies.
- Test and iterate on the skill until the results are useful.
Create Your Project
A Claude skill lives in a Claude Desktop project. When you start a conversation inside the project, Claude follows the instructions automatically. This is better than pasting a prompt every morning because the instructions persist across conversations.
- In Claude Desktop, click the Projects icon (book icon) in the sidebar.
- Click New Project.
- Name it Morning Briefing.
- In the What are you trying to achieve? field, enter Scans Gmail, categorizes emails, logs to Notion, and drafts replies in my writing style.
What is a Claude Project?
A Project in Claude Desktop is a workspace where you can store instructions, files, and context that Claude remembers across conversations. When you start a conversation inside a project, Claude automatically has access to everything in it.
- Press Enter or click Create to confirm.
Teach Claude Your Writing Style
Before we build the skill, we need Claude to learn how you write so it can draft replies that actually sound like you.
- Type the following prompt:
Read my 20 most recent sent emails. Analyse my writing style and summarize:
- How formal or casual I tend to be
- How I typically greet people and sign off
- My average email length
- Any phrases or patterns I use often
- My overall tone (e.g. direct, friendly, formal, humorous)
- Press Enter and let Claude analyse your sent emails.
Claude will produce a summary of your writing style. Review it and check whether it captures how you actually write.
- Copy the writing style summary that Claude generated and paste it below. You will paste it into the skill instructions in the next step.

Not sure what to copy?
If Claude gave you a long analysis, ask it: Summarize my writing style in a single short paragraph that I can paste into a prompt. This gives you a clean, copiable block.
💡 Why analyse sent emails?
Your sent emails are the best source of truth for how you actually write. Claude can pick up on patterns like whether you use "Hey" or "Hi," whether you keep things to one paragraph or write longer responses, and whether you sign off with "Best" or "Cheers." This makes draft replies feel like something you would actually send.
Build Your Briefing Skill
Now let's create the skill that powers your entire briefing workflow. This skill scans your inbox, filters out noise, categorizes emails, logs them to your Notion database, and drafts replies in your writing style.
- In your Morning Briefing project, click on Instructions in the project settings.
- Paste the following skill into the instructions. Replace the YOUR_WRITING_STYLE variable with the writing style summary you copied in the previous step.
You are my personal email briefing assistant. Every time I run this prompt, do the following:
1. SCAN: Use the Gmail connector to read all emails received in the last 24 hours.
2. FILTER: Ignore the following types of emails:
- Newsletters and marketing emails
- Automated notifications (GitHub, CI/CD, server alerts)
- Social media notifications
- Promotional offers and spam
3. CATEGORIZE: Sort the remaining emails into three buckets:
- "Needs Response" - Emails from real people that expect a reply
- "FYI" - Important updates I should know about but don't need to act on
- "Delegatable" - Tasks someone else on my team could handle
4. LOG TO NOTION: For every email that passes the filter:
- Find my existing "Email Briefings" Notion database (do NOT create a new one).
- Add a new entry to it.
- Fill in: Sender, Subject, Summary (one sentence), Category, Date Received.
- Set Status to "New".
5. DRAFT REPLIES: For the top 3 most urgent emails in "Needs Response":
- Draft a short reply using MY WRITING STYLE (defined below).
- Flag anything that needs my personal input with [NEEDS YOUR INPUT: ...].

When drafting replies, match this writing style exactly. Do not default to generic professional language.

Why these three categories?
"Needs Response," "FYI," and "Delegatable" cover the three decisions you make with every email: do I reply, do I just note it, or can someone else handle it? Sorting emails into these buckets before you even open your inbox saves you from context-switching between different types of work.
- Check your Notion Email Briefings database to confirm the entries were created.
- Review the draft replies. Do they sound like you?
Why only the top 3 urgent emails?
Drafting replies is the most complex part of the skill. Starting with just 3 keeps the output focused and gives you a manageable number to review. You can always increase this number once you trust the quality of Claude's drafts.
Personalize and Iterate
The skill works, but right now it is generic. Let Claude help you customize it.
- In the same conversation, ask Claude to help you personalize the skill:
Help me customize my email briefing skill. Ask me about my job role, my team structure, the types of emails I get most often, and any senders or subjects that should always be flagged as high priority. Then update my project instructions based on my answers.
- Answer Claude's questions. For example, you might tell it that emails from your manager should always be "Needs Response," or that anything with "invoice" in the subject should go to your finance team.
- Review the updated instructions Claude suggests and paste them into your project's instructions.
- Run Run my email briefing again. Look for these common issues:
- Filtering misses: Newsletters or automated emails still getting through? Add specific rules like "ignore emails from notifications@github.com."
- Categorization errors: Emails in the wrong bucket? Add rules like "calendar invites go to FYI unless they ask a question."
- Reply quality: Drafts not sounding like you? Refine the writing style section.
- Update your instructions with any fixes and run the briefing again until the output is useful.
Pro tip
Keep a running list of fixes
Each time you spot an issue, add a specific rule to your skill rather than a vague instruction. "Ignore emails from noreply@ addresses" works better than "filter out more automated emails."

Now that Claude is connected to your Gmail and Notion, you can customize this workflow in countless ways. Change the Notion database columns, add new email categories, have Claude create calendar events for action items, or build entirely different automations with the same connectors. Schedule Your Morning Briefing
Your briefing skill is polished and producing exactly the kind of summary you want. But right now, you have to open Claude Desktop and run it manually every morning. The whole point of automation is to remove that effort. What if Claude could run the briefing on its own, every weekday, before you even sit down at your desk?
That is exactly what scheduled tasks in Claude Desktop's Cowork tab are built for. You will create a task that fires at 7:30 AM on weekdays, so your briefing is waiting in Notion by the time you start your day.
In this step, get ready to:
- Create a scheduled task with your briefing skill.
- Configure the task to run at 7:30 AM on weekdays.
- Run a manual test and review the automated output.
Create a Scheduled Task
Scheduled tasks in Claude Desktop run inside a Cowork project. We need to create a new Cowork project, import your Morning Briefing skill into it, and then set up the schedule.
- Open Claude Desktop.
- Click the Cowork tab at the top of the screen (between Chat and Code).
- Click the Work in a project dropdown at the bottom of the screen.
- Click Projects in the dropdown menu.
- Click Create new project.
- On the "Create a new project" screen, click Import a project. This lets you bring over the Morning Briefing project you made in Chat.
- Under Projects from Chat, select your Morning Briefing project.
- Leave the name as Morning Briefing.
- Click Create.
Your Cowork project is now set up. You should see your Morning Briefing project listed under Projects from Chat in the right sidebar, along with a Scheduled section where you can set up recurring tasks.
- In the right sidebar, click the + button next to Scheduled to create a new scheduled task.
A form will appear asking you to configure the scheduled task.
- Set the Name to Morning Email Briefing.
- Set the Description to Scan my inbox, categorize emails, log to Notion, and draft replies.
- In the Prompt field, type Run my email briefing.
- Set the Frequency to Weekdays.
- Set the time to 7:30 AM.
- Click Save to create the scheduled task.
Your task is now scheduled. Claude will run it automatically every weekday at 7:30 AM.
What do the frequency options mean?
Manual runs only when you trigger it. Hourly runs once every hour. Daily runs once a day. Weekdays runs Monday through Friday. Weekly runs once a week on a specific day.
🙋♀️ Will it run if my computer is asleep?
Both scheduled tasks and the Cowork tab require your computer to be awake and Claude Desktop to be open. If your machine is asleep at 7:30 AM, the task will run as soon as your machine wakes up and Claude Desktop is running. Make sure your Mac or PC is awake before 7:30 AM if you want the briefing on time. How can I keep my computer awake on a schedule?
Run a Manual Test
Before waiting until tomorrow morning, let's trigger the task right now to make sure everything works end to end.
- In the Cowork tab, find the scheduled task you just created.
- Click on the task to open it.
- Click the Run now button.
- Wait for Claude to complete the task.
This may take 30 to 60 seconds depending on how many emails you have. Claude will read your recent emails, generate the briefing, and create a new page in your Notion workspace.
- Open your Notion workspace and find the new briefing page.
Review the output. Your briefing should contain the sections and formatting you defined in your prompt from Step 3.
Pro tip
Tweak the prompt if needed
If the output is not quite right, go back to the scheduled task and edit the prompt. You can adjust the number of emails to scan, change the summary format, or add categories. The scheduled task will use your updated prompt on its next run.

Your morning briefing automation is fully working. Starting tomorrow, Claude will create this briefing for you every weekday at 7:30 AM.

- Check that both the Gmail and Notion connectors show as connected in Settings, then Connectors. If either is disconnected, reconnect it.
- Make sure the prompt in your scheduled task is the same one that worked in Step 3. If you modified it, try reverting to the original version.
- Check your Notion workspace permissions. Claude needs write access to create new pages.

Your morning briefing runs on a schedule, but what if you want it right now? In this secret mission, you will set up Dispatch to trigger your briefing from your phone. Send a message, and Claude on your desktop does the rest.
In this secret mission, get ready to:
- Pair your phone to your Mac using Dispatch in Claude Desktop.
- Send the briefing prompt from your phone and review the results on your desktop.

Clean Up Your Resources
Clean Up Your Resources
Decide whether to keep your resources running, pause them to come back later, or delete them entirely. This project runs entirely locally, so there are no ongoing costs beyond your existing Claude Pro subscription.
Resources you used:
- Scheduled task in Claude Desktop
- Gmail connector in Claude Desktop
- Notion connector in Claude Desktop
- Claude Desktop app
✔️ Keep everything running
No action needed. Choose this if you're still actively building or want to keep receiving your morning briefings.
Your scheduled task will continue running at the time you configured, and both connectors will stay active in Claude Desktop. There are no additional costs beyond your Claude Pro subscription.

Shut down running processes to free up resources, but keep all your configuration so you can pick up where you left off.
Disable your scheduled task:
- Open Claude Desktop and click the Cowork tab.
- Find your scheduled task.
- Click the task to open it, then toggle it to Disabled.
Your connectors and Claude Desktop configuration will remain in place. To restart later, re-enable the scheduled task.
ⓧ Delete - I don't want to use this again
Remove all project resources and start fresh if you ever want to rebuild.
Remove your scheduled task:
- Open Claude Desktop and click the Cowork tab.
- Find your scheduled task.
- Click the task to open it, then click Delete.
Then clean up Claude Desktop:
- Open Settings, then Connectors.
- Click Disconnect next to Gmail.
- Click Disconnect next to Notion.
- If you no longer need Claude Desktop for other tasks, you can uninstall it from your computer.
