Set Up a Capstone Team Discord Server

Build a self-running Discord workspace with automated progress tracking.

Introduction

30 Second Summary

Capstone projects run for a full year. Keeping your advisor in the loop without scheduling extra meetings or chasing updates in group chats is one of the hardest non-technical challenges you will face.

In this project, you will set up a Discord server that tracks your capstone team's progress automatically. Weekly check-ins, meeting transcripts, and advisor feedback all accumulate in one searchable workspace with zero ongoing manual effort.

What You'll Build

Your advisor opens Discord on any given week and sees a clean timeline of your team's work. Tagged weekly logs, AI-generated meeting summaries with speaker labels, and a focused discussion channel where they can leave feedback.

By the end of this project, you'll have:

  • A Forum Channel timeline where each week's progress is a tagged, searchable post your advisor can browse like a table of contents.
  • Automated weekly check-ins via DailyBot that prompt every team member each Friday and compile responses into a visible report.
  • Automatic meeting transcription via Discap that records your voice calls, labels each speaker, and posts a summary with action items when the call ends.
  • Secret Mission: Connect a GitHub webhook so code commits and pull requests appear in a dedicated Discord channel automatically.

Are there any prerequisites?

All team members and advisors need a Discord account. No coding, paid tools, or prior Discord experience required.

Before We Start

Before we dive in, let's lock in what you're about to build and why it matters. This is your chance to commit to the goal before any hands-on work begins.

Create Your Server and Enable Community

Your capstone team needs a shared workspace where progress logs, meeting notes, and advisor feedback all live in one place. A standard Discord server is missing a critical feature for this: Forum Channels.

Forum Channels let each weekly update or meeting note exist as its own tagged, searchable post. They're only available on servers with Community mode enabled, so that's what you'll set up first.

In this step, get ready to:
  • Create a new Discord server for your capstone team.
  • Enable Community mode to unlock Forum Channels.
  • Verify that Forum Channels are available as a channel type.
Create a new Discord server

You need a fresh server dedicated to your capstone team. This keeps project communication separate from any personal servers you already have.

  • Open Discord.
  • Click the + button in the left sidebar (below your existing servers).
  • Select Create My Own.
  • Select For a club or community.
  • Name your server ProtEng Capstone 2025 (or another recognizable name for your team).
  • Click Create.

Your new server appears in the left sidebar. You should see the server name at the top and a default #general text channel.

Don't see the + button?

The + button sits at the bottom of your server icon list in the far-left sidebar. If you're on mobile, tap the hamburger menu (three lines) at the top left first to reveal the sidebar.

Help me find where to create a new Discord server.

Enable Community mode

Community mode unlocks server features designed for organized groups, including Forum Channels. Enabling it requires a few safety settings that Discord enforces for all Community servers.

  • Click the server name (ProtEng Capstone 2025) at the top of the channel list to open the dropdown menu.
  • Select Server Settings.
  • In the left sidebar, scroll down and click Community.
  • Click Enable Community.

What happens next?

Discord opens a setup wizard that walks you through several screens. It will ask you to accept safety requirements and choose channels for rules and community updates.

  • On the safety checks screen, accept the verified email requirement.
  • Accept the explicit media content filter requirement.
  • When prompted, select or create a Rules channel.
  • When prompted, select or create a Community Updates channel.
  • Complete the setup wizard by clicking through the final confirmation.

After completing the wizard, you should see the Community section in Server Settings now shows Community as enabled. Your channel list will also include the new Rules and Community Updates channels.

Why Forum Channels over regular text channels?

In a regular text channel, messages scroll away. After a few weeks, finding a specific update means endless scrolling.

Forum Channels keep each entry as a discrete, tagged, searchable post. You can browse them in List View like a logbook. Over a year-long capstone project, that structure is the difference between a usable record and chaos.

Community option greyed out or missing?

Only the server owner can enable Community mode. Make sure you are the owner of this server (the person who created it). If you chose a server template during creation, Community might already be partially configured.

Help me enable Community mode on my Discord server.

Verify Forum Channels are available

Before you check, what new channel type do you think enabling Community mode unlocked?

  • Go back to your server's channel list (press Esc or click the X to exit Server Settings).
  • Hover over any channel category name (like Text Channels).
  • Click the + that appears next to the category name.

You should see Forum as a channel type option in the list. That confirms Community mode is active and Forum Channels are unlocked.

  • Click Cancel or press Esc to close the channel creation dialog without creating anything yet.

Don't see Forum in the channel type list?

Go back to Server Settings > Community and confirm it shows as enabled. If you skipped a step in the wizard (like accepting the email verification requirement), Community mode may not have fully activated.

Also make sure you're clicking the + next to a channel category, not the + in the left sidebar (which creates a new server).

Why can't I see Forum as a channel type option?

Your server is live and Community mode is active. Next up, you'll build the channel structure that keeps your weekly logs, meeting notes, and deliverables organized for the entire year.

Build Your Channel Structure

Your server has Community mode enabled and Forum Channels unlocked. Now it's time to give your workspace some structure.

Without clear channel organization, messages get buried in a single scrolling feed. Forum Channels solve this by giving each weekly update or meeting note its own discrete, tagged, searchable post. Your advisor can browse them like a table of contents instead of scrolling through hundreds of messages.

In this step, get ready to:
  • Create a Project Hub category with Forum Channels and text channels.
  • Add a Voice category with a meeting channel.
  • Post your first weekly log to set the format for your team.
Create the Project Hub category and channels

Categories group related channels together in the sidebar. You will create one called Project Hub to hold all your team's working channels.

  • Click the chevron (small arrow) next to your server name at the top of the channel list.
  • Select Create Category.
  • Type Project Hub as the category name.
  • Click Create.

You should see the empty Project Hub category appear in your channel sidebar. Now you will add the first Forum Channel inside it.

  • Hover over the Project Hub category and click the plus sign that appears.
  • Select Forum as the channel type.
  • Enter weekly-logs as the channel name.
  • Click Create Channel.

The weekly-logs Forum Channel now exists, but it needs configuration. You will set its layout, inactivity timer, tags, and posting guidelines.

  • Hover over the weekly-logs channel name and click the cog icon to open channel settings.
  • Under the layout options, set the default layout to List View.
  • Set the Hide After Inactivity timer to 1 Week.
  • In the Tags section, add six tags: week-01, week-02, week-03, week-04, blocker, and milestone.
  • Click Create post guidelines and enter the following text as the guideline:
Title format: Week XX - Your Name. Include: what you did, what's next, any blockers.

What do these settings do?

List View displays posts as a text-focused table of contents, making it easy for your advisor to scan weeks at a glance.

The 1-week inactivity timer moves older posts to an "Older Posts" section after 7 days. They remain fully searchable and accessible. Tags let anyone filter posts by week number or flag a blocker.

  • Click Save Changes.

Navigate back to the channel list. You should see weekly-logs listed under Project Hub with a forum icon next to it.

Why Forum Channels over regular text channels?

In a regular text channel, messages scroll away and get lost. Forum Channels keep each entry as a discrete, tagged, searchable post.

Over a year-long capstone, your advisor can filter by a specific week tag and jump straight to that update without scrolling past months of chat.

Now create the second Forum Channel for meeting notes.

  • Hover over Project Hub and click the plus sign.
  • Select Forum as the channel type.
  • Enter meeting-notes as the channel name.
  • Click Create Channel.
  • Hover over meeting-notes and click the cog icon to open its settings.
  • Add three tags: advisor-meeting, team-sync, and action-items.
  • Click Create post guidelines and enter the following:
Title format: Meeting YYYY-MM-DD. Include: attendees, decisions, action items.
  • Click Save Changes.

Two Forum Channels are configured. Now add two regular text channels for day-to-day use.

  • Hover over Project Hub and click the plus sign.
  • Select Text as the channel type.
  • Enter deliverables-and-links as the channel name.
  • Click Create Channel.

One more text channel to go.

  • Hover over Project Hub and click the plus sign.
  • Select Text as the channel type.
  • Enter discussion as the channel name.
  • Click Create Channel.

Your Project Hub category should now contain four channels: weekly-logs, meeting-notes, deliverables-and-links, and discussion.

Don't see Forum as a channel type?

Forum is only available when Community mode is enabled. Go to Server Settings and confirm that Community is active in the left sidebar. If it shows as disabled, re-enable it following the prompts from Step 1.

Help me enable Community mode so I can create Forum Channels

Add the Voice category

Your team also needs a dedicated space for voice meetings. A separate category keeps voice channels visually distinct from text-based project work.

  • Click the chevron next to your server name at the top of the channel list.
  • Select Create Category.
  • Name it Voice and click Create.
  • Hover over the new Voice category and click the plus sign.
  • Select Voice as the channel type.
  • Name it Team Meeting and click Create Channel.

You should now see a Voice category in your sidebar with a Team Meeting voice channel inside it.

Post your first weekly log

An empty forum tells your team nothing about what format to use. Posting a sample entry sets the tone and shows everyone what a good weekly log looks like.

  • Click into the weekly-logs Forum Channel.
  • Click New Post.
  • Set the post title to Week 01 - [Your Name] (replace with your actual name).
  • Select the week-01 tag.
  • In the post body, write a short sample progress update. Include what you set up this week, what you plan to do next, and any blockers.
  • Click Post.

Before you check the result, what do you expect to see when you navigate back to the weekly-logs channel overview?

  • Navigate back to the weekly-logs channel overview by clicking the channel name in the sidebar.

You should see your post displayed in List View with its week-01 tag visible next to the title.

  • Click into the meeting-notes Forum Channel to confirm its setup.
  • Click New Post. You should see the Post Guidelines you entered earlier displayed at the top of the compose area.
  • Cancel out of the new post (you do not need to create one here).

Add more week tags later

You started with week-01 through week-04. As your capstone progresses, open the weekly-logs channel settings and add more week tags. Posts with older tags remain visible and searchable in the Older Posts section.

Your channel structure is in place. Next up, you will lock down who can do what with role-based permissions so your advisors have clean read access and your team can work freely.

Configure Roles and Permissions

Your channel structure is in place. Forum Channels, voice channels, and text channels are all ready for content.

Right now, every member in your server has the same level of access. An advisor could accidentally delete a channel or post in the wrong place. Role-based permissions solve this by locking down who can do what, giving your team full collaboration access while advisors get clean read-only visibility plus a focused place to comment.

In this step, get ready to:
  • Create a "Team Member" role with collaboration permissions.
  • Create an "Advisor" role with read-only access and a per-channel override for feedback.
  • Assign roles to your team members and advisors.
Create the Team Member role

The Team Member role gives your group everything they need for day-to-day collaboration: sending messages, attaching files, embedding links, and joining voice calls.

  • Press the server name ProtEng Capstone 2025 in the upper-left corner and select Server Settings.
  • Click Roles in the left sidebar.
  • Click Create Role.
  • Name the role Team Member.
  • In Role Color, choose a color from the presets or use the Custom Color picker.
  • Select the Permissions tab.
  • Enable these text permissions: Send Messages, Embed Links, Attach Files, Read Message History, and Use Application Commands.
  • Enable these voice permissions: Connect and Speak.

Keep management permissions off

Leave all management toggles disabled (Manage Channels, Manage Server, Manage Roles, etc.). Team members should collaborate, not accidentally restructure the server.

  • Click Save Changes at the bottom of the page.

You should see Team Member appear in your Roles list with the color you chose.

Create the Advisor role

Advisors need to follow progress without modifying anything. This role grants read-only access server-wide, and you will add a single channel exception in the next substep.

  • While still in Server Settings > Roles, click Create Role again.
  • Name the role Advisor.
  • Choose a distinct color so advisors stand out from team members.
  • Select the Permissions tab.
  • Enable: Read Message History, View Channels, and Connect (voice).
  • Make sure Send Messages is disabled (toggled off).
  • Click Save Changes.

Your Roles list now shows both Team Member and Advisor with their respective colors.

Why disable Send Messages server-wide for Advisors?

Discord's permission hierarchy starts with server-level permissions as a base. By disabling Send Messages at the server level, advisors are read-only everywhere by default.

You can then enable Send Messages on a single channel using a channel-level override. This is much easier than manually restricting advisors on every channel individually.

Set a channel-level permission override for the Advisor role

Your advisors are currently locked out of writing anywhere. The discussion channel is the one place where they should be able to leave feedback and ask questions.

  • Close Server Settings and return to the channel list.
  • Hover over the discussion channel in your Project Hub category and click the cog icon to open channel settings.
  • Select Permissions in the left-hand panel.
  • Click the + (plus sign) next to Roles/Members to add a role.
  • Select the Advisor role from the dropdown.
  • Find Send Messages in the list and click the green checkmark to enable it for this channel.
  • Click Save Changes.

The Advisor role now has a channel-level override: read-only everywhere except discussion, where they can send messages.

What are permission overrides?

Channel permissions start with server permissions as a base. When you add a role to a channel's permission panel and toggle a specific setting, that channel-level rule overrides the server-wide default for that role.

In this case, the Advisor role has Send Messages disabled server-wide but enabled on the discussion channel. The channel override wins.

Assign roles and verify permissions

Roles exist but nobody has them yet. Time to assign them to your team and advisors.

  • Open Server Settings again.
  • Click Members in the left sidebar.
  • For each team member, click the + next to their name and select Team Member from the dropdown.
  • For each advisor, click the + next to their name and select Advisor from the dropdown.

Members not showing up?

Make sure @everyone is selected in the role filter at the top right of the Members page. This shows all server members regardless of role.

Before you test, what do you think will happen when your advisor tries to post in the weekly-logs forum?

  • Ask your advisor to try posting in the weekly-logs Forum Channel.
  • They should be blocked from creating a post because Send Messages is disabled server-wide for the Advisor role.
  • Now ask them to post a message in the discussion channel.
  • That message should go through, because of the channel-level override you set.

Advisor can still post in weekly-logs?

Double-check that the Advisor role's Send Messages permission is toggled off at the server level (Server Settings > Roles > Advisor > Permissions). If it is set to the neutral slash (/) instead of disabled, the @everyone default may allow it.

Also confirm you did not accidentally add the Advisor role to weekly-logs with Send Messages enabled. Check by clicking the cog icon on the weekly-logs channel and reviewing its Permissions tab.

Need more help? Why can my advisor still send messages in channels that should be read-only?

Your permissions are locked down. Team members can collaborate freely while advisors have a clean read-only view with one focused channel for feedback. Next up, you will add DailyBot to automate weekly check-ins so your advisor always has fresh progress data without anyone remembering to post manually.

Add DailyBot for Automated Weekly Check-ins

Your server has channels, roles, and a clear structure. The missing piece is consistency.

Over a year-long capstone, relying on team members to remember to post weekly updates will inevitably fall apart within a month. DailyBot solves this by sending automated prompts to each team member on a schedule. Your advisor always has fresh check-in data, even when the team is heads-down on code.

In this step, get ready to:
  • Add DailyBot to your Discord server.
  • Configure a weekly check-in with three structured questions.
  • Fire a test run and confirm the compiled report appears.
Add DailyBot to your server

DailyBot is a free bot that sends scheduled questions to your team via DM, then compiles the answers into a single report. You need to authorize it for your server before you can configure anything.

  • Open your browser and go to dailybot.com/connections/discord.
  • Click Add to Discord.
  • Discord will open an authorization screen. Select your ProtEng Capstone 2025 server from the dropdown.
  • Review the permissions checklist and click Authorize.
  • Complete the captcha if Discord prompts one.
  • When the DailyBot onboarding asks which channel to use as its home, choose the discussion channel.

Switch back to Discord and open your server's member list. You should see DailyBot listed as a bot member.

Why the discussion channel?

The home channel is where DailyBot listens for commands and posts general notifications. The discussion channel is already the shared space where your team and advisors interact, so DailyBot's presence there feels natural.

DailyBot not appearing in your server?

Make sure you selected the correct server during authorization. If you picked the wrong one, remove the bot from that server and re-run the authorization flow from dailybot.com/connections/discord.

You also need Manage Server permissions on the Discord server to authorize bots.

Configure the weekly check-in

With DailyBot installed, you can now create a recurring check-in that prompts your team every Friday.

  • Open a new browser tab and go to app.dailybot.com. Sign in with the same account you used during authorization.
  • Click Check-ins in the left sidebar.
  • Click Create check-in.
  • Give your check-in a name. Enter Weekly Progress Update.

Now add the three questions your team will answer each week.

  • Add question 1: What did you accomplish this week?
  • Add question 2: What are you working on next week?
  • Add question 3: Any blockers or things you need help with?

Next, configure who receives the check-in and when.

  • Under Participants, select all 4 team members.
  • Under Schedule, set the frequency to Weekly.
  • Set the day to Friday and the send time to 4:00 PM in your timezone.
  • For the report destination, choose a Discord channel where compiled responses should appear. Pick weekly-logs if you want responses alongside your forum posts, or discussion if you want them in the shared conversation space.
  • Click Save to activate the check-in.

What does this check-in do?

Every Friday at 4:00 PM, DailyBot sends a direct message to each team member with the three questions. Each person answers in DM at their own pace. Once responses are in, DailyBot compiles them into a single report and posts it to your chosen reporting channel.

Your advisor can read one compiled report instead of chasing four people for updates.

Why automate instead of posting manually?

Manual weekly posts work for the first few weeks, then life gets in the way. Automated prompts guarantee consistent updates all year. The DailyBot Starter plan is free and allows 300 interactions per month, which covers 4 team members doing weekly check-ins easily.

Trigger a test run and verify

Your check-in is configured but won't fire until next Friday. You can trigger it immediately to confirm everything works end-to-end.

  • In the DailyBot dashboard at app.dailybot.com, open the check-in you just created.
  • Look for an option to send the check-in immediately (often labeled Send now or a test/trigger option). Click it to fire the check-in right now.

What happens next?

DailyBot sends a DM to each participant with the three questions. Each team member answers directly in the DM conversation. Once responses are submitted, DailyBot compiles them and posts a report to the channel you configured.

  • Switch to Discord and open your DMs. You should see a message from DailyBot asking the first question.
  • Answer all three questions in the DM conversation.

Before you check the reporting channel, think about what you expect to see there. Will it show just your answers, or a compiled summary of everyone who responded?

  • Navigate to the reporting channel you chose earlier. Within a few minutes, DailyBot posts a compiled report containing your responses.

You should see a formatted message from DailyBot with your name and your three answers compiled together.

No DM from DailyBot?

Check your Discord privacy settings. You need to allow DMs from server members for DailyBot to reach you. Go to the server name, click the dropdown arrow, select Privacy Settings, and enable Direct Messages.

Also confirm the bot is installed correctly by typing /dailybot in any text channel. If autocomplete shows commands, the bot is present.

help me troubleshoot why DailyBot is not sending me a DM check-in prompt

Your weekly check-ins are now fully automated. Every Friday, DailyBot prompts your team and compiles the results without anyone having to remember. Next up, you'll add automatic meeting transcription so your voice calls are documented too.

Add Discap for Automatic Meeting Transcription

Your server now tracks weekly progress automatically with DailyBot. The next gap to close is meeting documentation.

Your team holds advisor meetings via Discord voice calls, but nobody wants to be the designated note-taker. Discap solves this by recording the call, transcribing it with speaker labels, and posting a summary when everyone leaves the channel.

In this step, get ready to:
  • Add Discap to your server and configure it to post recaps in your meeting-notes channel.
  • Run a test voice call to verify automatic transcription works.
  • Confirm the recap appears with a summary, transcript, and audio recording link.
Add Discap and configure recaps

Discap uses the standard Discord bot authorization flow. You will add it from the Discap website, then run a slash command to tell it where to post recaps.

  • Open your browser and go to discap.bot.
  • Click Add to Discord.
  • In the authorization window, select your ProtEng Capstone 2025 server from the dropdown.
  • Click Authorize to grant Discap access to your server.

You should see a confirmation page indicating Discap was added successfully.

  • Return to Discord and open any text channel (such as discussion).
  • Type /setup and press Enter.
  • When prompted to choose channels, select your meeting-notes Forum Channel as the destination for recaps.

What does /setup do?

The /setup command lets you choose which channels Discap uses. You are telling Discap where to post its recap messages after each voice call ends.

If Discap does not support posting directly to a Forum Channel, choose a text channel instead. You can then copy each recap into a new forum post in meeting-notes manually.

Discap responds with a confirmation message showing your selected channel. This confirms the bot is ready.

Don't see the /setup command?

Make sure the authorization completed successfully. Check your server's member list for Discap. If it is not listed, repeat the authorization from discap.bot.

Also confirm that Use Application Commands is enabled for your role in the channel you are typing in.

help me troubleshoot why Discap's /setup command isn't appearing in my Discord server

Run a test voice call

With Discap configured, you can verify it works by starting a short voice call. Discap joins automatically when a call starts in a channel it is allowed in and announces that it is recording.

  • Join the Team Meeting voice channel in the Voice category.
  • Wait a few seconds for Discap to join the channel automatically.

You should see Discap appear in the voice channel member list and announce that it is recording.

  • Talk for 30-60 seconds to generate a short transcript.
  • Leave the voice channel by clicking the disconnect button (phone icon with an X) at the bottom of your channel list.

Why do I need to leave the channel?

Discap posts the recap only after everyone has left the voice channel. This ensures the entire conversation is captured before the summary is generated.

Discap didn't join automatically?

Try pulling it in manually by typing /join in a text channel while you are in the voice call.

If that does not work, run /setup again and make sure the Team Meeting channel is in Discap's allowed channel list.

help me figure out why Discap is not joining my voice channel automatically

Verify the recap message

Before you check the recap channel, what do you expect to see from Discap after your test call?

  • Navigate to the channel where you configured Discap to post recaps (your meeting-notes Forum Channel or the text channel you selected during /setup).
  • Look for Discap's recap message.

You should see a message containing three sections: a summary of what was discussed, a full transcript with speaker names and timestamps, and a link to download the audio recording.

Search past meetings with /ask

Later in your capstone year, you can type /ask followed by a question to search what your server talked about in past calls. Discap points you back to the source calls and notes. Your advisor can use this too.

No recap appeared?

Make sure all participants have left the voice channel. Discap only posts the recap after everyone disconnects.

Allow a minute or two for Discap to process the audio. Longer calls may take more time.

If nothing appears after a few minutes, run /setup again to confirm the recap channel is correctly configured, then try another short test call.

Secret mission

Connect a GitHub Webhook for Dev Activity

Your advisors want to see code progress without opening GitHub. Connect a webhook so commits and pull requests appear directly in a dedicated Discord channel.

Clean Up Your Resources

Clean Up Your Resources

Decide whether to keep your resources running, pause them to come back later, or delete them entirely. This project runs entirely on free tools, so there are no ongoing costs regardless of which option you choose.

Resources you used:

  • Discord server (ProtEng Capstone 2025) with Community mode, all channels, roles, and bot integrations.
  • DailyBot Starter plan (free, configured via app.dailybot.com).
  • Discap bot (free, auto-joins voice channels for transcription).
  • GitHub webhook on your ProtEng repository (Secret Mission).

Keep everything running

No action needed. Choose this if your capstone team is still actively using the server for communication, check-ins, and meeting transcription.

  • All resources are free. Your Discord server, DailyBot, and Discap will continue working indefinitely at no cost.
  • DailyBot's free Starter plan allows 300 interactions per month. With 4 team members doing weekly check-ins (3 questions each), you use roughly 48 interactions per month.
  • Discap is free for servers under 200 transcribed hours per month. Weekly 1-hour meetings for a full year totals approximately 52 hours, well under the limit.
  • The GitHub webhook will continue posting commit and PR notifications to your dev-activity channel at no cost.
  • Your DailyBot web dashboard at app.dailybot.com will remain accessible for editing check-in schedules or viewing the last 14 days of responses.

Pause - I'll come back to this later

Shut down automated processes to reduce noise while keeping all your channels, posts, and configuration intact for later.

  • Disable the DailyBot check-in schedule. Open the DailyBot web dashboard at app.dailybot.com, find your weekly check-in, and pause or disable it. Team members will stop receiving Friday prompts.
  • Remove Discap from voice channels. You can kick Discap from the Team Meeting voice channel so it no longer auto-joins and records. The bot stays installed on the server but will not record until re-invited.
  • Optionally disable the GitHub webhook. In your ProtEng repository on GitHub, go to Settings > Webhooks, select the webhook, and uncheck Active. Notifications will stop but the webhook configuration is preserved for later.
  • Your Discord server, channels, Forum posts, and role configuration all remain untouched. You can re-enable everything when you resume.

Delete - I don't want to use this again

Remove all project resources permanently. This cannot be undone.

  • Delete the GitHub webhook first. In your ProtEng repository on GitHub, go to Settings > Webhooks. Click the webhook pointing to your Discord server, then click Delete webhook.
  • Delete the Discord server. Go to Server Settings > Delete Server. This permanently removes all channels, messages, Forum posts, roles, and bot integrations (DailyBot and Discap) in one action.
  • Your DailyBot workspace at app.dailybot.com will remain as a free dormant account. Without a connected Discord server, it does nothing and costs nothing.
  • Your Discap data (past transcripts and recordings) may still be accessible at discap.bot until the server association is cleared. No ongoing cost applies.

Nice Work!

Nice Work!

You've built a self-running Discord workspace for your capstone team that documents itself automatically. Your advisor now has a single place to follow a year-long project without scheduling extra meetings or chasing updates.

You learned how to:

  • Build a structured Discord server with Forum Channels and role-based permissions that keep weekly logs and meeting notes organized, tagged, and searchable over your entire capstone year.
  • Set up DailyBot automated weekly check-ins that prompt all 4 team members every Friday and compile structured responses into a visible report.
  • Enable Discap to automatically record, transcribe, and summarize every advisor voice meeting with speaker labels and searchable history.
  • Connect a GitHub webhook to surface commits and pull requests directly in a Discord channel so advisors can follow code progress without opening GitHub (Secret Mission).
